Update Alert Archives

 

1)   New Online Payment/Tokenization handling – Once the system is setup with an integrated credit card processor or using the Credit Card Vault to store the credit card information, when client reaches the stage to enter their credit card information through the online booking interface, it will now relocate the client to the payment page where the credit card information can be entered.   This has been implemented in order to reduce and limit the occurrence of the credit card failures.   Credit Card failures would occur if a user had 3rd Party cookies blocked and since the payment interface was in an I-frame, this would have blocked the transmission to determine if the payment was successful.  With the new payment handling process, the reservation is created as soon as the payment process is started online and appropriate comments are applied to the reservation displaying the status of the reservation.

Note:  Users will NOT be able to edit the reservation for 15 minutes after it has been created.  This is to ensure all processes are completed by the customer during this time.

2)  Batch Printing – This new update introduces Batch Printing, which allows users to print multiple documents in one job by selecting all of the documents needed for the job. This feature is currently available in the arrivals/departure panel, periodic billing panel and the meter billing panel.

Within the Arrivals/Departures panel is the option on the right to batch print. This brings up the window below.

3)  Analytics panel – A new analytic  panel has been introduced, providing users with data on percentage occupancy across multiple unit types through charts. This panel can be found by going to Admin -> Administrative -> 6. Revenue Statistics. You can choose to see how you want the data to be represented (Line, Column and Chart) and the time period and desired Unit Types.   A comparison of two years can also be accomplished by selecting two different year time periods.

Loading the chart displays the analytic data in the chart form of your choice. This chart shows the occupancy year to year percentages for campsites and cabins for 2015 (note that no data for 2014 is displayed. The legend on the right points to the colors of the bars that represent the unit types and the year of the data).

4)  Reservation Payment Status Color preference – A new preference is now available if a user wishes to have the payment status (no payment, partially paid and fully paid) to take priority over the reservation status (unassigned, assigned).   The assigned colors can be viewed in the Grid Color Legend by clicking on Utilities and choosing the Grid Color Legend option.

Note:  Custom alert colors take precedence over all alerts colors except for no deposit paid

 

To enable Reservation Colours to be determined by Payment Status, rather than Booking Status:
Click Setup from the Menu bar, expand Business Setup and click 1. Business Info

5)  Reset Online Password from the Client Editor – A user can now change their password from inside the Client Editor.

6)  Unit Level documents and images – Images and documents can be added to a unit and can be viewed when making a booking online. The images/documents are added in the unit setup panel. To get to the unit setup panel choose the menu option Setup -> Business Setup -> 7. Unit Types.

Choosing a unit from a unit type on the left activates the Modify Image/Document List buttons. Clicking on either of these buttons opens up the upload popup, allowing a user to upload whatever image/document is required.

7)  Security Deposit Owed –  When a security deposit is set to be automatically applied to a reservation and has not been paid, this will be displayed on the statement report and also on the confirmation letter so customers can be aware of this outstanding security deposit.

8)  Html editor for the email confirmation – The email confirmation forms can now be edited in the HTML editor of the System Label Manager panel. This can be found by going to Admin -> Administrative -> 3. System Label Manager.

1). Alternate Grid Label – This new preference has been added to the business setup. This new option allows a user to override the grid label with one of their own.  For example, when creating a reservation, the name of the customer would be the default label name. This can now be overridden with a name of your choice. This option can be found in Business Setup -> Business Info -> Preferences.

2). Force Rez Flag in Billing Policy Types – A new option has been included within the Billing Policy Types. When this flag is enabled, a billing policy will not be processed unless a reservation is attached. The option can be found in Setup -> Admin/Accounting -> Billing Policy Types.

Setup a Billing policy Type and check the Force Rez on Policy check box (Destination Account Type must be Reservation).

Set up a new Billing Policy (for a client with no reservation) and choose the newly created Policy Type.

Go to Admin -> Periodic Billing -> Process Periodic Billing. Search for the Policy Type from the drop-down menu and select the Type with the force rez option selected. Search for the policy within the time period of the policy’s due date.

A status message is shown detailing that the process has failed. A valid reservation must be attached.

3). PDF Attachment are Configurable Wildcards – PDF attachments are now displayed as links within emails.  The locations for where the links appear are by default to the top of the email but this is configurable.

4) Tentative Invoice Alert Color – An alert color is now applied to the reservation invoice field within the Charges and Payments section of the Guest Folio if it is still in a tentative state.   This will allow users to determine if the billing batch has been confirmed.

5)  Cancellation Report Update –  The Cancellation report has been updated to accommodate cancellation Fees which include tax to display the breakdown

6) Till Tape Unit Number (Online Map Based Reservation) – The unit number is now displayed on the till tape when you make a booking online using the map module.

7) Recalculation Reservation on Unit Type change after check in – Users can now apply the preference to have reservations recalculate when the Unit Type is changed within one day of the check in date.   This preference is located in Setup => Business Setup => Business Info => Preferences .

8) POS Invoice Comments Fix – A fix has been implemented to rectify the issue where comments were not being displayed on the invoices that were transferred to a reservation from the Point of Sale charges.
When making a sale to the reservation, any comments added will displayed on the invoice form now.

DigitalRez Update (Chip’n’Pin (EMV) Technology)

DigitalRez Update

In this update we will be focusing on credit card processing and highlighting the new regulations implemented by Visa and MasterCard in their latest PCI DSS III for credit card data security. We have invested over $500,000 so far into RezExpert to make sure we do not contravene these new regulations.

Visa and MasterCard are now targeting businesses more with the Chip’n’Pin (EMV) technology. This will become mandatory from October. If you are not ready for this technology you will be liable for any fraudulent purchases.

There is nothing that we can do from a business standpoint to make you ready except to provide you with the most up to date information. Armed with this information you can contact your merchant service provider or bank.

One of our integrated payment processors (Nationwide) has provided us with the following.

Chip enabled credit cards (EMV) liability shift happening on the 1st of October 2015.

The true objective behind all of this is to reduce card present fraud in the electronic payments processing industry by making it harder for fraud to be committed in the first place.

This means that whichever side in the transaction has the less secure processing technology is liable for any card present fraud on a transaction run at the location. For example, if a merchant has an EMV capable machine & is presented with a non-chip card that turns out to be a fraudulent sale, the bank is liable for the fraud as they failed to upgrade their cardholder’s card to the most secure standard.

In the reverse situation if the card is a chip card but the merchant doesn’t have an EMV capable terminal, the merchant is liable for any chargebacks as a result of card present fraud.

Nationwide takes security seriously and recommends that all merchants try and upgrade to EMV capable equipment by October. However, there are sometimes instances beyond a merchant’s control that will result in an upgrade by October 2015 not being feasible.

Merchants need to determine what their risk for card present fraud is if they are going to be using equipment that is not EMV capable after October 2015.

Questions merchants need to ask themselves are:

What is my average ticket?
What is our history of chargebacks related to card present fraud?
Do we ask for identification for transaction amounts that are higher than our normal average sale?

If the exposure makes the resort uncomfortable, Nationwide can offer to place a free use EMV counter top terminal until the readers are available for all integrated Nationwide/Paytrace customers.

Update Bulletin 7/15/15 – POS Comments and more.

1). POS Comments – Comments can now be added to a customer’s receipt from the POS screen for single POS. The preference for it to appear automatically, every time a sale is located under the Preferences tab within the Business Setup panel.

Once turned on, each time a sale is submitted, an Invoice dialog box appears allowing the user to input the comments to be displayed on the Invoice.

2). Edit Check In/Out Times – The check in/out times are now editable in the Guest Folio of the reservation.   If the customer indicates that they will be arriving earlier and checking out later then the default set time, this can now be adjusted to reflect this change.

3). Phone Search Field – A number entered into the phone field now searches customer’s phone, mobile and fax numbers assigned.    Previously only the phone number provided results.

4). Support Button – A new button has been added to the menu bar. This button takes you to the RezExpert support site which provides users with our help support and contact system.   Users will be able to search for help documentation and videos on processes and procedures in the system.

5).  AR Billing Policy – An accounts receivable account can now be created in the billing policy set up if a customer does not have one set up already.  As shown in the image below, an account is currently not set.

N.B this is only applicable for AR billing policies where the policies is ran towards the clients AR account.

Clicking on the dotted box opens the Client Accounts pop up box.  This pop up shows any available accounts and the balance associated with the accounts.  In the image there are no accounts. Instead there is a link to create and select a new account. Clicking this link automatically creates an Account Receivable account.

6). Reverse Payment Fix – When a deposit is converted and a reverse payment is made, the type of reverse payment is now shown in the Charges and Payments window.   Click the Change (Chg) link where the deposit has been converted.

This brings up the Change Payment pop up window and the user can select which payment type the total deposit which was converted will be reversed to.

7). Billing Policy Review Add button – The Add button is now always enabled to allow a user to jump to the billing policy setup panel to create a new policy for a new client.  Previously the add button was only available when a client with an existing policy was selected from the list.  This will save time for the user having to scroll to the billing policy setup panel and then have it expanded.

To summarize our actions …
We have applied the fix. This involved:
  • Immediately updating vulnerable services to a non-vulnerable version of OpenSSL
  • Rotating all existing SSL certificates and revoking the previous certificates
  • Rotating all keys and passwords used for encryption that were potentially exposed as a result of the vulnerability
  • Restarting all affected servers
